About this role
Our client, a worldwide leader in residency and citizenship solutions, is currently looking for a Real Estate Administrator to join their real estate team. In this role, you will provide admin and operational support, ensuring the efficient management of property transactions, listings, and client documentation while delivering excellent client service.
This is an office-based role, offering a salary of up to €25K plus bonus.
Role & Responsibilities
Serve as the primary point of contact for clients
Deliver administrative support across all departments within the team
Draft, process, and maintain contracts, agreements, and other property-related documents
Respond to client inquiries by phone, email, and in person, ensuring prompt and professional service
Keep databases, property records, and client files accurate and up to date in line with company procedures
Maintain organised electronic and physical filing systems while safeguarding confidentiality and accuracy
Notify clients of upcoming lease expiries and manage the renewal or termination process accordingly
Oversee lease terminations on behalf of clients, liaising with internal teams to ensure smooth handover
Uphold compliance with real estate regulations, company policies, and documentation standards
Identify opportunities to improve administrative processes and boost office efficiency
Education, Skills & Experience
1+ years experience in office administration or in a fast-paced client-facing role
Proven experience in client relationship management
Fluency in Maltese and English, both written and spoken - non-negotiable
Knowledge of the local property market
Proficiency in Microsoft Office and CRM systems
Experience working with confidential documentation and maintaining accurate records
Strong organisational and communication skills
Attention to detail and the ability to manage various priorities simultaneously
Ability to work on own initiative
Knowledge or experience within the investment migration or residency industry is a plus
About the Role
Salary of up to €25K + annual bonus
Office-based in St Julian's, Malta
35 hours/week – Monday to Friday, 9:00 – 17:00 (1-hour break included)
