The Impact of a Benefits Analyst at Coupa:
The Benefits Analyst provides operational support across Coupa's employee benefits programs in North America and Latin America. This role is responsible for the accurate and timely administration of health and welfare plans, retirement programs, leave of absence processes, and vendor operations, ensuring employees receive a consistent and high-quality benefits experience. The Benefits Analyst partners regularly with HR Operations, Payroll, and external vendors to keep programs running smoothly across a multi-country environment.

What You'll Do:

Benefits Administration
  • Administer day-to-day enrollment transactions including new hire elections, life event changes, dependent verifications, and open enrollment processing.
  • Serve as a first point of contact for employee benefits inquiries, responding via the HR/Benefits Service Desk ticketing system and email with accuracy and professionalism.
  • Process and audit benefits enrollments in the benefits administration system, ensuring data integrity and timely updates.
  • Manage the enrollment window process: generate eligibility reports, send employee reminders, and follow up on incomplete elections.
  • Process new hire benefits paperwork and enrollment forms for NALA countries (US, Canada, Brazil, Colombia, Mexico); coordinate documentation with regional carriers and brokers as required.
  • Maintain accurate employee records across the HRIS, benefits administration system, and vendor platforms; identify and resolve file feed discrepancies.
  • Support annual open enrollment preparation including employee communications, benefits administration system testing, and intranet content updates.
  • Sending company-wide email calendar invites, for benefit related presentations.
    • Leave & Disability Administration
  • Coordinate leave of absence administration across US, Canada, and LATAM programs including disability, family leave, and country-specific statutory leave types.
  • Maintain the LOA leave tracker; audit leave dates against vendor records and flag discrepancies for resolution.
  • Send leave-related documentation (repayment agreements, leave notices, acknowledgements) and maintain organized case files.
  • Process disability employer statements and support Canada disability LOA processes; pull and review ADA reports from the disability carrier.
    • Vendor Operations & Invoice Management
  • Submit carrier invoices to Accounts Payable; save and log weekly and monthly invoice reports from medical, dental, vision, and ancillary carriers.
  • Run monthly invoice audit reconciliations and benefit payroll deduction reconciliation audits for US and Canada.
  • Download and audit carrier invoices monthly prior to submitting to AP; process self-billed premium reports for applicable vendors.
  • Support vendor census submissions including monthly LATAM life insurance census and countryspecific reporting requirements.
  • Assist with vendor file feed audits and enrollment reconciliations between the HRIS and carrier systems
    • Compliance & Reporting
  • Assist with ACA (1095-C/1094-C) review and filing support, COBRA administration, and HSA Customer Identification Program (CIP) audits.
  • Pull and distribute monthly spending account reports (HSA/FSA employee balances) to Finance; support FSA unsubstantiated claims processing.
  • Contribute to compliance calendar activities including COBRA reporting, state-specific reporting (SF HCSO, NY DBL/PFL), and annual SPD/WRAP document updates.
  • Maintain process documentation and intranet benefits content; support periodic audits of vendor admin access and system accuracy.
    • Training & Operational Support
  • Contribute to the onboarding and training of new Benefits team members by sharing knowledge of the processes, systems, and recurring tasks within your area of responsibility.
  • Support HR Operations counterparts in learning Tier 1 and Tier 2 benefits administration tasks to strengthen operational coverage across the Americas.

    • What You Will Bring to Coupa:

  • 2+ years of experience in benefits administration, HR operations, or a closely related field.
  • Familiarity with health and welfare benefit programs (medical, dental, vision, FSA/HSA, life, disability).
  • Experience with HRIS and benefits administration platforms; exposure to Dayforce or similar systems a plus.
  • Strong attention to detail with the ability to manage multiple recurring tasks accurately and on time.
  • Clear, professional communication skills with a service-oriented approach to employee interactions.
  • Proficiency in Microsoft Excel and standard office productivity tools.
  • Exposure to LATAM benefit programs or multi-country HR administration is a plus.
