The Role:

The Client Operations Coordinator supports accurate and timely work across the client operations lifecycle, from authorization intake and service delivery through billing, payment, and case resolution. This role helps ensure authorizations and service hours are processed accurately, discrepancies are resolved, and clients and caregivers experience uninterrupted service.

Coordinators are trained across Client Operations functions and assigned to a specific area based on business needs, with the expectation that they develop working knowledge of the full client lifecycle and can support multiple functions as departmental needs evolve.

Primary Responsibilities

  • Process and maintain client authorizations, verifying service type, units, date ranges, funding sources, and rates; identify discrepancies and support urgent authorization requests and audits.
  • Process submitted hours and timesheets, validate alignment with authorized services, and resolve short pays, missing entries, and other processing discrepancies.
  • Support pre-billing accuracy checks, billing closeout, reconciliation, reauthorization tracking, and funds recovery activities to help prevent service and payment disruptions.
  • Manage assigned client cases and escalations through resolution, communicating with clients and caregivers and partnering with internal teams to address authorization, service, and billing concerns.
  • Maintain accurate documentation, meet established turnaround and compliance requirements, and collaborate with Branch Operations, Revenue Cycle Management, Payroll, Finance, and other partners to resolve issues and improve processes.

This is a hybrid position, coming into the El Segundo office 3x per week.

Work Schedule: Business hours are 8:00 a.m. to 6:00 p.m. Pacific Time. Depending on the position and business needs, employees may be required to work any scheduled shift within these operating hours.

What You Bring to the Table:

Qualifications

  • High school diploma or equivalent.
  • 1+ years of experience in an administrative, operations, billing, customer service, or coordination role.
  • Proficiency with Microsoft Office, particularly Excel and Outlook.
  • Experience in home care, healthcare operations, or a Regional Center environment preferred.
  • Familiarity with authorization, billing, claims, payroll, or CRM systems such as Salesforce preferred.

  • Strong attention to detail and accuracy in high-volume, deadline-driven work.
  • Organization and prioritization skills with the ability to manage competing deadlines.
  • Strong problem-solving and judgment, including identifying discrepancies and escalating appropriately.
  • Clear written and verbal communication with clients, caregivers, and cross-functional partners.
  • Adaptability and ability to learn and apply processes across multiple Client Operations functions.
