The Executive Secretary plays a key role in supporting the Senior Partners by ensuring the smooth, efficient, and timely management of their schedules within a fast‑paced professional environment. This position requires exceptional organisational skills, discretion, and the ability to manage multiple priorities while maintaining high standards of professionalism.


Key Responsibilities

  • Provide comprehensive administrative and secretarial support to the Senior Partners
  • Prepare, process, proofread, and format correspondence, reports, and other documents
  • Maintain organised filing systems, databases, and records
  • Liaise with internal departments and communicate with external stakeholders and members of the public
  • Manage and redirect internal and external calls and emails appropriately
  • Arrange and coordinate appointments, meetings, and events
  • Monitor office supplies and coordinate orders when required
  • Assist with copying, scanning, emailing, note‑taking, and travel arrangements
  • Prepare meeting rooms and arrange refreshments for meetings or events, when required
  • Support general administrative and hospitality duties, including occasional reception cover
  • Assist with personal administrative tasks for the Partners when required
  • Uphold professional business practices, confidentiality, and etiquette at all times


Skills & Competencies

  • Strong proficiency in document management, spreadsheets, and databases
  • Excellent organisational, filing, and record‑keeping skills
  • Ability to liaise effectively with internal teams and external parties
  • Working knowledge of office equipment (printers, scanners, copiers, etc.)
  • Confident use of appointment scheduling and call management systems
  • Strong multitasking and time‑management skills
  • Flexibility to support duties outside standard office hours when required
  • Excellent written and verbal communication skills
