The Executive Secretary plays a key role in supporting the Senior Partners by ensuring the smooth, efficient, and timely management of their schedules within a fast‑paced professional environment. This position requires exceptional organisational skills, discretion, and the ability to manage multiple priorities while maintaining high standards of professionalism.
Key Responsibilities
- Provide comprehensive administrative and secretarial support to the Senior Partners
- Prepare, process, proofread, and format correspondence, reports, and other documents
- Maintain organised filing systems, databases, and records
- Liaise with internal departments and communicate with external stakeholders and members of the public
- Manage and redirect internal and external calls and emails appropriately
- Arrange and coordinate appointments, meetings, and events
- Monitor office supplies and coordinate orders when required
- Assist with copying, scanning, emailing, note‑taking, and travel arrangements
- Prepare meeting rooms and arrange refreshments for meetings or events, when required
- Support general administrative and hospitality duties, including occasional reception cover
- Assist with personal administrative tasks for the Partners when required
- Uphold professional business practices, confidentiality, and etiquette at all times
Skills & Competencies
- Strong proficiency in document management, spreadsheets, and databases
- Excellent organisational, filing, and record‑keeping skills
- Ability to liaise effectively with internal teams and external parties
- Working knowledge of office equipment (printers, scanners, copiers, etc.)
- Confident use of appointment scheduling and call management systems
- Strong multitasking and time‑management skills
- Flexibility to support duties outside standard office hours when required
