This position plays a key role in supporting executive-level activities while maintaining professionalism, confidentiality, and efficiency.

KEY ACCOUNTABILITIES:

1. Administrative Support

  • Provide day-to-day administrative support to the Founder’s Office under the guidance of the Personal Assistant
  • Prepare documents, presentations, and reports as required
  • Maintain organised filing systems (digital and physical)
  • Handle correspondence, including drafting emails and letters

2. Calendar & Scheduling Coordination

  • Assist in managing the Founder’s calendar in coordination with the PA and EA
  • Schedule meetings, appointments, and events
  • Track and follow up on key deadlines and commitments

3. Meeting & Event Support

  • Coordinate meeting logistics (venue, materials, catering, etc.)
  • Prepare agendas, take minutes, and follow up on action points
  • Support internal and external events involving the Founder

4. Communication & Liaison

  • Act as a point of contact between the Founder’s Office and internal/external stakeholders
  • Ensure timely and professional communication on behalf of the office
  • Support the PA in managing incoming requests and prioritising tasks

5. Travel & Logistics

  • Assist with travel arrangements (visa, flights, accommodation, itineraries)
  • Prepare detailed travel schedules and briefing documents

6. Office Coordination

  • Support the smooth operation of the Founder’s Office
  • Monitor office supplies and administrative processes
  • Contribute to improving systems and efficiency within the office

7. Collaboration with the Personal Assistant (PA)

  • Work in close partnership with the Founder’s PA to ensure smooth coordination between professional and personal commitments.
  • Share relevant information to support diary alignment, travel planning, and scheduling efficiency.
  • Provide cover for the PA when required, particularly for work-related or executive tasks.
