As Facilities Manager (m/f/d) at Flix, you can make an impact by taking full ownership of our Munich Headquarters Office (very close to Hirschgarten S-bahn) - ensuring it runs safely, efficiently, and to the highest standard for everyone who works here.

In this role, you will lead day-to-day facility operations, manage a small team, and oversee a broad portfolio of services spanning maintenance, vendor management, sustainability reporting, and office infrastructure.

You will be the go-to person for keeping our HQ functional, compliant, and future-ready - collaborating closely with internal stakeholders across IT, Finance, HR, Legal, and Procurement, as well as external service partners and building landlords.

About the Role

• Lead day-to-day facilities operations across the Munich HQ, coordinating maintenance, building services, security, parking, mail, and office services in a safe, efficient, and compliant manner
• Manage and develop a small facilities team of 2–3, alongside contracted maintenance providers - overseeing work order prioritization, quality control, and service contract performance
• Coordinate preventive and corrective maintenance of all building systems including HVAC, plumbing, electrical, fire alarm, and life safety equipment in collaboration with the building landlord
• Oversee facility refurbishments and renovation projects end-to-end, ensuring delivery on time, within budget, and to required standards
• Manage and maintain the CAFM system, keeping facility, asset, maintenance, and vendor data accurate, up to date, and audit-ready
• Lead environmental and sustainability reporting for the HQ - collecting, validating, and submitting energy, water, waste, and emissions data in coordination with landlords, utility providers, and internal teams
• Administer vendor contracts and serve as the primary on-site contact - coordinating estimates, installations, repairs, and regulatory inspections
• Support annual budget planning and variance analysis for facilities projects, liaising with Procurement to ensure compliance with purchasing policies
• Build and maintain strong working relationships with internal customers, occupants, landlords, and service partners, ensuring service requests are handled promptly and professionally
  

About You

• 7+ years of experience in facilities management, building operations, or a comparable role — with a strong track record in maintenance, project management, and vendor oversight
• Proven supervisory experience, with the ability to lead a small team and contracted service providers effectively
• Solid knowledge of building systems including mechanical, electrical, plumbing, and fire/life safety, with the ability to interpret construction plans and technical documentation
• Experience with CAFM systems and proficiency in MS Office and Google Suite
• Familiarity with environmental and sustainability reporting for corporate facilities is an advantage
• Strong project management and problem-solving skills, with the ability to manage multiple priorities in a fast-paced environment
• Results-oriented and self-motivated, with excellent organizational skills and a customer-service mindse
• Relevant qualifications in facilities management, engineering, or a related field are a plus
• Fluent in German and English, with strong written and verbal communication skills
