We are seeking a detail-oriented and highly organized Operations & Administrative Specialist to support one of three core operational tracks: Approvals, Compliance & Quality Assurance, or Payroll.

All tracks play a critical role in maintaining accurate documentation, regulatory compliance, and smooth day-to-day operations across the organization.

Core Responsibilities (All Tracks)

  • Maintain accurate records, documentation, and data entry systems
  • Follow internal policies, regulatory standards, and deadlines
  • Review information for accuracy and completeness
  • Communicate with internal teams to resolve discrepancies or missing information
  • Track tasks and workflows to ensure timely completion
  • Support audits, reporting, and operational improvements
  • Handle sensitive information with confidentiality and professionalism

Track Options

Approvals Track

  • Process and track service or authorization requests
  • Review submissions for completeness and eligibility
  • Coordinate with teams to ensure timely approvals
  • Maintain approval logs and status updates

Compliance & Quality Assurance Track

  • Monitor adherence to policies, procedures, and regulatory requirements
  • Conduct file reviews and internal audits
  • Identify risks or gaps and recommend corrective actions
  • Support preparation for external reviews or inspections

Payroll Track

  • Process payroll accurately and on schedule
  • Verify timesheets and employee data
  • Maintain payroll records and resolve discrepancies
  • Ensure compliance with wage and labor regulations

Qualifications

  • Bachelor’s degree or equivalent experience preferred
  • 1–3 years of administrative, operations, compliance, or payroll experience
  • Strong attention to detail and organizational skills
  • Comfortable working with spreadsheets and data systems
  • Ability to manage multiple deadlines
  • Discretion with confidential information
  • Clear written and verbal communication
