The firm is looking for an organized, client-focused Operations Specialist to support our team and clients. This role keeps our operations running smoothly, from processing and e-filing tax returns to welcoming clients and visitors at the front office.

Requirements
Job Responsibilities:
- Prepare tax returns for client delivery, following firm standards.
- Submit e-filings and track each one until it is accepted.
- Meet deadlines during busy season.
- Talk with clients by phone, email, and in person.
- Follow up on missing items and track them until complete.
- Respond to client needs quickly and professionally.
- Finalize client letters using firm formatting.
- Proofread documents for accuracy before they go out.
- Help with billing and accounts receivable.
- Answer and direct phone calls.
- Greet and direct visitors.
- Schedule meetings.
- Order supplies and team meals.
- Help keep the office clean and organized.
Skills:
- Advanced skills in Word, Excel, and Adobe Acrobat.
- Careful proofreading and attention to detail.
- Ability to manage multiple deadlines and shifting priorities.
- A client-first approach and clear communication.
- Ability to follow procedures and work both independently and on a team.
- Commitment to client confidentiality.
Requirements:
- High school diploma or equivalent.
- At least 3 years of administrative experience.
- Advanced skills in Word, Excel, and Adobe Acrobat.
Preferred:
- Associate's or bachelor's degree.
- Experience in a financial or professional services firm.
- Experience with tax return processing and e-filing.
- Experience with Thomson Reuters or CCH tax software (such as Practice CS, UltraTax CS, or CCH Axcess).
Schedule and Availability
- Full time, in person, Monday through Friday, 8:00 a.m. to 5:00 p.m.
- Overtime as needed, especially around tax deadlines.
- Half-day Saturdays during busy seasons (March and April, September and October).

Working Conditions/Physical Demands:
Operates in a professional office environment with moderate noise levels, e.g. computers, printer, light traffic. Use of standard office equipment (computers, phones, copiers). Long periods of sitting/standing at desk for computer work. Exerting up to 10 lbs of force occasionally to lift, carry, push, pull or move objects.
