Job Description



The PMO Coordinator runs the Project Director’s office for the project, coordinating across the four project teams — Delivery, Design Management, Brand & Ops and Finance. The role owns the weekly leadership one-pager and the project decision log, keeps cross-team actions moving through the escalation ladder, and is the organisational backbone of the weekly project management rhythm.

Key Responsibilities



  • Prepare the weekly SteerCo one-pager consolidating progress, decisions needed, risks and hiring status from all four teams.
  • Own and maintain the project decision log, recording every SteerCo decision per entity (owner / brand).
  • Organise and coordinate the Weekly Project Management meeting: agenda, inputs, minutes and follow-up actions.
  • Chase cross-team actions through the escalation ladder and keep owners accountable to deadlines.
  • Feed and maintain the project management platform (ingenious.build) for the PD office — dashboards, registers and reporting modules (system owned by the Construction & Design Manager).
  • Support the Project Director in preparing leadership materials, briefings and correspondence.
  • Coordinate calendars, meeting cadence and cross-team communication across Athens and the Mykonos site.
  • Apply the project filing rules and naming conventions on SharePoint; keep the PD office documentation current.
  • Support onboarding of new project team members.


Key Performance Indicators



  • Weekly one-pager issued on time, every week, with complete inputs from all four teams
  • Decision log current at all times — zero undocumented SteerCo decisions
  • Action-list closure rate and average age of open actions
  • Meeting minutes issued within 24 hours of each session


Qualifications



  • 3–6 years of experience in project coordination, PMO or executive-office roles — construction, real estate or hospitality environments are an advantage.
  • Excellent written English and Greek; confident preparing leadership-level documents.
  • Advanced Microsoft Office (Excel, PowerPoint); experience with project management platforms (ingenious.build or similar) is a strong plus.
  • Highly organised, discreet and comfortable chasing senior stakeholders.
  • Approximately 20%–40% travel to the construction site (Mykonos)
  • Bachelor’s degree in engineering, business administration or related field preferred.
