Job Details


The main purpose of this role is to provide comprehensive administrative and client support within the Private Clients & Immigration Practice, advising and assisting a diverse, international private client base with immigration matters. You will act as a key point of contact for high-net-worth individuals and families, supporting them through residency and immigration processes, becoming a trusted and reliable advisor, and working closely with our team of specialists to ensure seamless, accurate, and timely client service.


The chosen candidate will be responsible for the following tasks:


Immigration & Relocation Support


  • Provide professional assistance to HNWIs relocating to Malta, supporting a range of immigration and residency programmes.
  • Assist with client onboarding, including preparation of initial due diligence requests and drafting of letters of engagement using the firm’s templates.
  • Guide clients through immigration requirements by requesting, reviewing, and providing feedback on documentation required for specific programmes.
  • Prepare and coordinate immigration applications, including completion of application forms, scheduling client meetings and notary appointments, and managing documentation (copying, scanning, certifying, saving, and filing in line with programme guidelines).
  • Liaise with third-party service providers such as translation agencies, insurance providers, and chauffeur services on behalf of clients and the firm.
  • Design and coordinate client itineraries during visits to Malta, including logistical, cultural, and leisure programs where required.


Client Relationship Management & Ongoing Compliance


  • Ensure timely and professional responses to client queries and telephone calls.
  • Proactively follow up with clients regarding outstanding documentation or information required to progress applications.
  • Maintain accurate and up-to-date physical and electronic client files in accordance with the firm’s procedures.
  • Prepare, provide clients with, and submit post-approval compliance documentation and renewals.
  • Liaise with local immigration and government authorities on behalf of clients.

Experience and Qualifications


Applicants should have the following minimum qualifications and skills:


  • Fluency in English, both written and spoken;
  • Ability to communicate, both written and verbal, with people at all levels of the organisation and the ability to establish positive relationships with clients and work colleagues alike;
  • Strong interpersonal skills and a proven ability to work in a collaborative, team-oriented environment;
  • Proven ability to manage multiple tasks while working independently and on one’s own initiative;
  • Strong attention to detail and excellent customer service required;
  • Computer literate; Proficient use of Microsoft Outlook;
  • A strong sense of urgency and commitment to get a job done to a high standard, and the ability to meet deadlines.
