About this role
We are looking for an experienced and highly organized Real Estate Administrator to join our growing brokerage in JVC, Dubai. The ideal candidate will have minimum 3 years of hands-on experience in Dubai real estate administration and strong knowledge of DLD systems, Trakheesi, NADM, RERA compliance, AML procedures, CRM systems, and major property portals.
This is a hands-on role supporting management and the sales team while ensuring that listings, permits, documentation, and administrative processes are handled accurately and efficiently
Key Responsibilities
- Welcome and professionally assist clients, visitors, and employees.
- Manage incoming calls, emails, WhatsApp messages, and general inquiries.
- Maintain a professional and organized reception and office environment.
- Provide daily administrative support to management and the sales team.
- Maintain and organize company documents, files, records, and databases.
- Handle real estate administrative processes through the Dubai Land Department (DLD) system.
- Manage Trakheesi advertising permit applications, approvals, and related processes.
- Manage listings, approvals, and permits through NADM and Trakheesi.
- Ensure compliance with applicable RERA regulations and requirements.
- Maintain and update property listings across Property Finder, Bayut, Dubizzle, and other relevant portals.
- Manage CRM systems, including leads, listings, transactions, records, and reporting.
- Support the team with transaction-related documentation and administrative processes.
- Assist with AML procedures and documentation in accordance with UAE requirements.
- Coordinate with agents, management, clients, developers, and relevant authorities when required.
- Ensure all documentation and records are accurate, complete, and up to date.
Requirements
- Minimum 3 years of experience in Dubai real estate administration is mandatory.
- Previous experience working with a Dubai real estate brokerage is required.
- Strong hands-on experience with the DLD system.
- Strong knowledge of Trakheesi, including advertising permit applications and approvals.
- Good understanding of RERA regulations and compliance.
- Advanced experience with real estate CRM systems, including leads, listings, transactions, and reporting.
- Strong understanding of AML procedures and UAE real estate compliance requirements.
- Hands-on experience managing listings on Property Finder, Bayut, Dubizzle, and other property portals.
- Experience managing listings, approvals, and permits through NADM and Trakheesi.
- Strong organizational and multitasking skills.
- Excellent attention to detail.
- Good English communication and professional interpersonal skills.
- Comfortable working closely with management and a fast-paced sales team.
- Candidates with strong knowledge of Dubai real estate administration and regulatory processes are preferred.
