About this role

Outsourcing Advantage is looking for a dedicated and detail-oriented Rehab Department Assistant to join our team. In this role, you will assist the Director of Rehab with general clerical and administrative duties, coordinate daily rehabilitation team activities, and help ensure that patients’ needs are met through accurate documentation, effective communication, and organized administrative support.

Responsibilities

  • Coordinate the daily activities of the Rehabilitation team.
  • Deliver medical records to managers and maintain organized filing systems.
  • Retrieve patient charts for review as needed.
  • Record schedule updates and changes accurately.
  • Answer telephone lines promptly and professionally and respond to messages in a timely manner.
  • Assign and communicate new patient referral information to therapists as requested by the Director of Rehab.
  • Assist the Director of Rehab with general clerical and administrative tasks.
  • Complete assigned work accurately and within established deadlines.
  • Maintain a positive, professional attitude and demonstrate effective time management.
  • Perform other office and clerical duties as assigned.
  • Collaborate closely with the Director of Rehab to ensure patients’ needs are met.
  • Maintain patient and coworker confidentiality at all times.
  • Follow company policies, procedures, attendance requirements, and professional standards.
  • Adapt to schedule changes and department needs when necessary.

Requirements

  • Previous experience in a homecare setting as a clerical assistant is preferred.
  • Previous data entry experience is preferred.
  • Knowledge of Microsoft Word, Excel, Outlook, and the McKesson system.
  • Strong organizational and interpersonal skills.
  • Excellent attention to detail.
  • Ability to work independently with general supervision.
  • Strong verbal and written communication skills.
  • Professional telephone etiquette and customer service skills.
  • Ability to multitask, prioritize responsibilities, and meet deadlines.
  • Strong problem-solving and critical-thinking skills.
  • Ability to maintain confidentiality and handle sensitive patient information.
