About this role

Diaz Anselmo & Associates is looking for a detail-oriented and organized Administrative Assistant to join our growing Title team. If you enjoy working in a fast-paced environment, managing important documents, and collaborating with a supportive team, we'd love to hear from you!

In this role, you'll play an important part in supporting title and mortgage-related processes, helping ensure documents are completed accurately, deadlines are met, and clients receive exceptional service.


What You’ll Do:

As a member of our Title team, you will:

  • Manage the full lifecycle of Assignments of Mortgage (AOMs) from receipt through final recording.
  • Prepare, file, and track real estate documents, including Lis Pendens and Title Order Instruments.
  • Review legal descriptions and coordinate approvals to ensure accurate submissions.
  • Monitor title production timelines, follow up on aging files, and order title gap searches as needed.
  • Maintain accurate information in company systems and client portals.
  • Assist Title Examiners and Legal Assistants with document retrieval and administrative support.
  • Help prepare complaint and summons packages while meeting important deadlines.
  • Manage shared departmental inboxes and provide timely, professional communication.



What We're Looking For:

Required Qualifications:

  • 2+ years of administrative, legal assistant, paralegal, title, mortgage, or related experience.
  • Strong organizational skills and attention to detail.
  • Ability to manage multiple priorities in a deadline-driven environment.
  • Proficiency with Microsoft Office Suite.
  • High school diploma or equivalent.

Preferred Qualifications:

  • Experience in foreclosure, creditor rights, real estate, title, or mortgage-related work.
  • Familiarity with Perfect Practice, ICE, Tempo, ADR, or similar systems.
  • Associate's or Bachelor's degree.
