Diaz Anselmo & Associates P.A. is seeking a detail-oriented and highly organized Fee Approval Specialist to join our growing billing operations team. In this role, you will play a critical part in reviewing, submitting, and managing fee approval requests while ensuring strict compliance with client billing guidelines and firm policies.

What You'll Do

As a Fee Approval Specialist, you will ensure that all fee requests are processed efficiently and accurately, fostering strong communication across internal departments and with external clients.

  • Fee Processing & Submission: Review, prepare, and submit fee approval requests in accordance with complex client billing guidelines.
  • Discrepancy Resolution: Partner with attorneys, billing professionals, and internal teams to troubleshoot billing errors and correct non-compliant entries.
  • Workflow Management: Monitor queues to ensure all requests are processed accurately and within required timelines.
  • Client Communication: Communicate professionally with institutional clients regarding escalated fee approval matters.
  • Cross-Department Coordination: Work across departments to gather necessary documentation and ensure complete, thorough submissions.
  • Platform Navigation: Maintain deep knowledge of client billing and fee management systems, including Legal Tracker, Tempo, and others.
  • Team Support: Step in to assist colleagues during peak volumes, backlogs, or staff absences, and contribute to cross-training and special projects.


Required Qualifications

  • High school diploma required (Associate's or Bachelor's degree in Accounting, Finance, Business, or a related field preferred).
  • Solid proficiency with the Microsoft Office Suite, particularly Excel and Outlook.
  • Exceptional attention to detail and elite data accuracy.
  • Strong organizational, time-management, and written/verbal communication skills.
  • Ability to manage multiple priorities and tight deadlines in a fast-paced environment.
  • Self-motivated with the ability to work independently while collaborating effectively with a team.


Preferred Qualifications

  • Previous experience in legal billing, fee approvals, accounts receivable, or a related administrative role.
  • Familiarity with platforms such as Perfect Practice, ICE, Tempo, PAID, or Legal Tracker.


Physical Requirements

  • Standard office duties, including extended periods of sitting and typing.
  • Occasional lifting and carrying of up to 20 lbs.
