Role Overview
The Data Clerk is responsible for managing and preparing customer shipping data for system upload and operational use. This includes transferring address and commodity information from various file formats into standardized templates, identifying and flagging missing or incorrect information, and manipulating data for use across multiple third-party platforms. The role also supports the operations team by troubleshooting system issues, analyzing customer files, and creating manual entries as needed. All work must comply with APC data standards as well as customs and export regulations. Accuracy, timeliness, and attention to detail are essential to success in this role.
Key Responsibilities
Transfer customer shipping data—including addresses and commodity details—from various file sources into a standardized spreadsheet template for upload
Identify and flag customer errors or missing shipping information to ensure data accuracy and completeness
Assist operational staff with system-related issues and data discrepancies
Manipulate and reformat files for use in various third-party systems
Analyze customer files for consistency, accuracy, and compliance with shipping requirements
Create manual files and perform data entry tasks as needed to support operational processes
Adhere to APC data handling standards, as well as applicable customs and export regulations
Perform additional data and administrative tasks as assigned
About the Candidate: The ideal candidate will be detail-oriented and dependable, with experience handling and processing large volumes of data in a fast-paced environment. You’ll demonstrate strong organizational skills and accuracy in working with customer shipping information across multiple file formats and systems. With a high level of discretion, you’ll ensure compliance with internal data standards and export regulations. Strong technical skills—particularly in Excel—are essential, along with the ability to troubleshoot issues, meet strict deadlines, and support operational teams as needed. A collaborative mindset and a commitment to data integrity will drive your success in this role.
Physical Requirements: The employee must occasionally lift and/or move up to 5–10 pounds from a floor position to an over-the-head position. Specific vision abilities required by this job include close vision, color vision, depth perception, and the ability to adjust focus. While performing the duties of this job, the employee is regularly required to sit, stand, verbally communicate, and perform intricate finger dexterity to type or manipulate electronic documents while speaking or listening.
Skills, Knowledge & Expertise
High school diploma required; associate degree or relevant coursework in data management or a related field preferred
1–2 years of experience working with data entry, file formatting, or related administrative functions
Proficient in Microsoft Office (Excel, Outlook, Word) and Google Workspace (Google Sheets, Docs, Gmail); advanced Excel and/or Google Sheets skills a plus
Familiarity with Mail Merge, barcoding systems, FTP processes, or VBA considered an advantage
Knowledge of international geography and shipping documentation preferred
Strong verbal and written communication skills
