Document Controller

Job Purpose:
Responsible to ensure that all technical work related documents in the Operations department are accurately recorded and filed to ensure that they can found when required.

Job Responsibilities:

• Files the documents and maintains the integrity of all files by ensuring that documents are not missing.

• Process all documentation received in accordance with prescribed matrices within agreed timescales.

• Maintaining and registering of incoming and outgoing Change Notices and Site queries, in accordance with agreed processes.

• Processes vendor documents in accordance to internal procedures.

• Accurately updates documents (including technical document, PO etc.) related to Operations Department in the electronic document management system to ensure that updated documentations are in place.

• Maintaining Document Control Database, to ensure that all documents are accurately record and their locations known.

• Prepares regular reports for management review detailing the performance metrics of the department.

• Consolidates reports for Operations Manager required.

• Register and receive the invoices from the suppliers for further process according to procurement and finance procedures.

• Replenish and control petty cash requirements as per company policies and procedures.

• Covering the Help Desk Coordinator responsibilities as required.

• Perform other duties as assigned by the Direct Manager.

Job Requirements:

Education - Diploma or Bachelor degree holder.

Experience - 3 years of experience in a similar role.
