About the role:
This is a high-trust role supporting the company's leadership team in both professional and personal matters. The Executive & Personal Assistant will be responsible for managing schedules, coordinating communications, organizing travel and events, tracking key action items, and providing personal assistance to ensure the smooth operation of both business and personal commitments.
What you will work on:
- Manage Executive Schedules: Ensure that all meetings, appointments are coordinated smoothly, manage executives emails, letters, and phone calls on behalf of the executive in order to ensure that all communication is professional, timely, and organized to optimize the executive's time and productivity.
- Support executive productivity: Managing priorities, coordinating schedules, streamlining administrative processes, ensuring that executives have the necessary support to focus on strategic objectives and drive business success.
- Track and Follow Up on Action Items: Maintain executive action trackers, follow up with internal and external stakeholders, and ensure commitments, deadlines, and deliverables are completed on time.
- Coordinate Meetings: Attend and document key points from meetings, distribute minutes, and track action items in order to ensure that follow-up tasks are completed, and all stakeholders are informed.
- Prepare Documents and Reports: Ensure that all necessary documents, presentations, and reports are accurately prepared and organized in order to meet deadlines and support decision-making.
- Manage and maintain official company documentation: by monitoring renewal deadlines for licenses, permits, registrations, and other statutory documents, ensuring timely renewals, accurate recordkeeping, and compliance with regulatory requirements.
- Coordinate Travel and Events: Ensure that travel arrangements, event bookings, and itineraries are planned and managed in order to avoid scheduling conflicts and ensure seamless execution.
- Organize and Maintain Office Systems: Manage filing systems, both digital and physical, to ensure that important documents are easily accessible and organized.
- Manage Office Supplies and Inventory: Oversee office supplies and equipment, including placing orders and coordinating maintenance, in order to ensure that the office operates efficiently and without disruptions.
- Coordinate with Internal and External Stakeholders: Act as a liaison between the executive and internal teams or external contacts such as Medical Insurance and other external stakeholders in order to ensure that communication flows smoothly and meetings are coordinated effectively.
- Support Personal Errands and Tasks: Assist the executive with personal tasks such as booking appointments, handling personal correspondence, coordinating with household staff, arranging transportation and pickup for family members

Qualifications & Education:
Must Have:

- Minimum of a High School Diploma; a Bachelor's degree is preferred.
Work Experience:
Must Have:
- Must Have a minimum of 3 years of Administrative Support Experience.
Nice to have
- Experience managing both professional and personal administrative responsibilities.
- Experience supporting C-level executives, business owners, or senior management.
Knowledge:
Must Have:
