Role Purpose

The Landed Cost Specialist accurately calculates and manages the total cost of goods from supplier to warehouse—including freight, duties, tariffs, and other import-related expenses—ensuring product margins, inventory values, and financial reports reflect true costs for better pricing and decision-making. This role is central to protecting margin accuracy and supporting reliable financial reporting across the AP and Purchasing functions.

Top Priorities

• Calculate, maintain, and verify accurate landed costs for all incoming products, including freight, duties, tariffs, and other import-related expenses.
• Collect, organize, and update product, vendor, and cost data to ensure accurate reporting and inventory records.
• Enter and maintain financial and inventory transactions in QuickBooks and Sellercloud.
• Assist management with data organization, reporting, reconciliations, and special projects as needed.

What You'll Do

Landed Cost Calculation & Allocation

• Calculate, maintain, and verify accurate landed costs for all incoming products, including freight, duties, tariffs, brokerage, and other import-related expenses.
• Allocate shared costs (such as freight or duties) across SKUs based on CBM, value, or quantity.
• Complete all landed cost computations by the 15th of each month to support financial close and margin analysis.

Data & Transaction Entry

• Enter and maintain financial and inventory transactions in QuickBooks and Sellercloud.
• Collect, organize, and update product, vendor, and cost data to ensure accurate reporting and inventory records.
• Perform high-volume data entry with a high level of accuracy and attention to detail.

Reconciliation & Accuracy

• Reconcile landed cost data with QuickBooks to ensure accurate COGS and inventory valuation.
• Review and verify supplier and forwarder invoices to confirm accuracy before financial posting.
• Resolve discrepancies between supplier invoices, forwarder bills, and PO records before payment approval.

Reporting, Projects & Collaboration

• Maintain organized landed cost records and update templates or sheets for monthly and quarterly reporting.
• Assist management with data organization, reporting, reconciliations, and special projects as needed.
• Partner with the AP team to ensure freight, duty, and supplier invoices are properly recorded and matched to POs.
• Collaborate with Procurement, Logistics, and Finance to streamline workflows, and provide back-up support across other areas of AP as needed.

Who You Are

• You have 2+ years of accounting and QuickBooks experience.
• You are highly proficient in Microsoft Excel—formulas, lookups, pivot tables, and data analysis.
• You have strong computer and data-entry skills with a high level of attention to detail.
• You understand how every cost—from supplier price to duty and freight—impacts overall profitability.
• You are organized and able to manage multiple priorities while maintaining accuracy.
• You are analytical, collaborative, and outcome-focused, and thrive in a high-growth, multi-brand environment.

Qualifications

Must-Have (Non-Negotiable)

• Minimum of 2 years of accounting and QuickBooks experience.
• Proficiency in Microsoft Excel (formulas, lookups, pivot tables, data analysis).
• Strong computer and data-entry skills with high attention to detail.
• Experience using Google Workspace (Sheets, Docs, Gmail, Drive).
• Working knowledge of QuickBooks and basic accounting principles.
• Strong organizational skills with the ability to manage multiple priorities while maintaining accuracy.

Preferred (Nice-to-Have)

• Experience with Sellercloud or another inventory / order management system.
• Experience working with inventory, purchasing, landed cost, or import operations (strongly preferred).
• Experience with high-volume data entry and reconciliations.
