The Role:
We’re moving into our first company-owned office building, and we’re looking for an Office Experience Manager to make it a great place to work - and keep it that way.
This is a hands-on role at the heart of the Mama Money office. You’ll own the day-to-day experience of our office, from how it looks and feels to how smoothly everything runs.
You’ll manage our office suppliers and partners, coordinate our external facilities support, oversee office operations, support events and onboarding, and constantly look for ways to make the experience better for our team.
You’ll be the eyes and ears of the office. You’ll notice when something isn't right, take ownership and make sure it gets sorted. You don't need to be the person fixing the air conditioner or repairing the plumbing - but you do need to know when something is wrong, who to call, how quickly it needs to be resolved and whether it has actually been sorted.
We’re looking for someone warm, energetic, organised and highly proactive. Someone who enjoys creating great environments for people, has high standards and gets things done.
As our Office Experience Manager, you will:
Be the go-to person for anything office-related.
Maintain high standards across shared spaces, meeting rooms, kitchens and communal areas.
Regularly walk the office, spot what needs attention and make sure it gets sorted.
Look for ways to continually improve the office experience.
Manage facilities & suppliers: Act as the main point of contact with our external Facilities Manager.
Identify maintenance, building and technical issues and coordinate their resolution.
Keep track of outstanding issues and follow through until they are resolved.
Manage relationships with cleaning, catering, security, maintenance and other service providers.
Source quotes, manage orders and hold suppliers accountable for quality and service.
Coordinate regular check-ins with our facilities partner and ensure nothing falls through the cracks.
Create a great team experience: Help create a warm, welcoming and well-organised office environment.
Support onboarding by ensuring new starters have everything they need on day one.
Support company events, celebrations and team activities.
Work with People & Talent on initiatives that bring the Mama culture to life in the office.
Pay attention to the small details that make people feel looked after.
Keep the office running smoothly: Manage office supplies, equipment, stock and procurement.
Own office budgets, invoices and day-to-day operational spend.
Coordinate furniture, equipment, office moves and reconfigurations as we grow.
Partner with IT, People & Talent and other teams where office operations overlap.
Maintain simple systems and processes that keep the office organised and running smoothly.
Keep improving: Look for practical ways to improve how the office works.
Identify opportunities to make the office more efficient, sustainable and enjoyable.
Bring ideas and energy to how we use the space as the team grows.
Help us build the standards and ways of working for our first company-owned office.
What we’re looking for
5+ years’ experience in office management, workplace operations, hospitality, events or a similar role.
Experience managing suppliers, contractors and service providers.
Strong organisation and attention to detail.
Experience managing budgets, procurement and operational spend.
Excellent communication and relationship-building skills.
The ability to manage multiple priorities and work independently.
A practical, hands-on approach and a willingness to get into the detail.
High standards and genuine pride in creating great environments for others.
Experience working with facilities, property or building management is advantageous.
Most importantly, you’re someone who notices things. You care about how people experience the office, you have the energy to make things happen, and you follow things through to the end.
