About this role
This is a client-facing and client-focused position with responsibility for the oversight of client deliverables to fund clients and structures reporting to the Executive Director responsible for the administration business.
The candidate will be responsible for growing the fund administration business by seeking out new opportunities direct from new clients or via intermediaries. The candidate will also be responsible for a proportion of the client servicing teams.
The candidate will be involved in developing their direct reports to provide a quality client-focused service. The candidate will have an understanding of the Jersey legal, tax and regulatory regimes applicable to private equity, real estate funds and other structures.
The candidate will be an integral part of the BD strategy of the business, seeking out opportunities, meeting with intermediaries, preparing for and delivering pitches to prospective clients and efficient turnaround of proposals to new clients.
Key Responsibilities
Client Duties
- Deliver the fund administration department plan for allocated areas.
- Responsible for being the client relationship lead on a portfolio of client structures.
- Co-ordinate the team to always deliver the highest standard of client service, including the completion of key client deliverables, the meeting of deadlines, the liaison with other Senior Client Directors Executive Directors within Langham Hall, and external third parties.
- Act as a director on the boards of client companies and/or Langham Hall’s Langham Hall’s corporate trustees and nominee companies and other Langham Hall in-house service companies, including those that are high risk and/or highly regulated.
- Develop positive and long-lasting client relationships between client contacts, their advisors, and intermediaries.
- Develop strong relationships with local and overseas intermediaries in respect of new business opportunities.
- Develop a strong partner to partner relationship with new and existing clients, as outlined by the Executive Directors.
- Oversight of client deliverables for allocated funds administration teams.
- Responsible for the maintenance and development of processes and standardisation of client deliverables across the fund administration department.
- Ensure client satisfaction through systematic process and high quality of delivery, as evidenced via the CRM process for the funds administration department.
- Implement and actively manage improvement plans as appropriate.
- Ensure that statutory and regulatory requirements are adhered to.
People Management
- Leadership of the funds administration team for allocated areas.
- Effective leadership and management of direct reports including workload planning and performance management.
- Act as a role model and provide support and guidance to Client Directors and Associate Directors within the department.
- Building, mentoring and motivating a client servicing team with an emphasis on excellence.
- ontribute to recruitment and team planning, including input on directorship appointments, to support effective team structure and succession planning.
Financial and reporting
- Provide relevant reports for monthly meetings and contribute to Board reporting quarterly.
- Undertake fee reviews and implement remedial action where appropriate.
- Ensure chargeable time and profitability targets are met.
- Ensure client bills are raised and settled promptly to minimise aged debtors and take a proactive approach to WIP Management and all aged debt.
- Manage department budgets and operate department in line with target GP.
Operational
- Take an active role in the planning, development, and implement of Jersey funds strategy, business plan and goals.
- Ensure technology is utilised and development to maximise its use and functionality enabling the ongoing development of client services.
- Ensure the team always comply with Langham Hall Fund Management (Jersey) policies and procedures and participate in their ongoing review and development. Ensure business risk is always managed and that breaches or complaints are managed proactively and reported with requisite timeframes.
- Drive the development of operational processes to improve efficiencies and risk mitigations and ensure teams promptly adopt new operating procedures.
- Act as an authorised signatory/officer in accordance with policies and procedures.
- Provide expertise, advice and guidance to the business as required, including leading committees and working groups.
As part of your duties all employees must ensure adherence to internal policies and procedures and meeting all personal AML obligations.
This role is captured under the LH definition of Senior Management for the purposes of the civil financial penalties regime, in accordance with the Financial Services Commission (Amendment No. 8) (Jersey) Law 2022 (FSC Amendment Law).
Skills, Knowledge & Expertise
Qualifications
- The candidate will be required to hold a professional administration or accounting qualification at an appropriate level (ACA, ACCA, ICSA Diploma or equivalent)
Skills and Experience
- Well established and extensive industry experience (private equity essential)
- Ideally a JFSC or other regulator “approved” individual
- Ability to lead on numerous projects simultaneously
- Strong communication skills.
- Experience in managing, mentoring and motivating teams and individuals.
- Excellent organisational skills and interpersonal skills for a high degree of client interaction and the promotion of client interaction within the business.
- Self-starter – always takes the initiative
Technical Knowledge
- A strong knowledge of the Funds sector in Jersey including corporate governance, conduct at board meetings and directorship responsibilities is essential.
- Ability to write reports, business correspondence, new business presentations and internal procedures is required. The candidate must above all have excellent interpersonal and communication skills and the ability to effectively present information and respond to questions from senior management and clients.
